Portsmouth Regional is a 209-bed acute care hospital located in Portsmouth, NH, and is part of HCA, the nation’s largest provider of healthcare services. Portsmouth Regional Hospital serves the seacoast region’s residents in New Hampshire, Maine, and Massachusetts and is also one of the area’s largest employers. Portsmouth Regional Hospital is the only Level II Trauma Center on the Seacoast and one of only three in New Hampshire to earn this important distinction.

Challenges

A SharePoint 2003 portal that was not well adopted warranted a technology refresh to the latest version of SharePoint. Addtionally apps were needed for automation of a paper based Policy and Procedure system. The goals was an online manual to guarantee that staff users were using the most current policy version and track 1.) when policies were due for review and 2.) have an approval process for new or revised policies with 3.) auto-archival.

• Performed an in-place SQL server clean-up, tune-up, and upgrade
• Built SharePoint 2010 farm
• SharePoint Migration from 2003 to 2007 to 2010
• Look and feel branding provided to look similar to PRH public web site
• Webinars conducted for power user training sessions. Oriented towards policies and procedures distribution, approval, and lifecycle archival.
• Group training conducted onsite for stakeholders and department heads to learn how to maintain their new portal, and app for management of policies and procedures lifecycle.

• Created an online Policy and Procedure SharePoint app which allowed for version tracking, management and reporting for policies that needed review or archiving.
• Staff users could easily search for procedures by category and chapter to find what they needed. Policies could also be archived using a custom workflow to archive documents to a secure library for record keeping purposes for audit purposes.
• All existing policies and procedures were migrated into the new system for the project launch.
